1. Who We Are
Tia is a recruitment platform operated through Searchability.ai properties. This policy explains how we collect, use, disclose, and protect personal data when you use our application and related services.
2. Scope
This policy applies to:
- recruiter, employer, candidate, and admin accounts in the web application
- careers discovery, job extraction, monitoring, and job-alert workflows
- AI-powered features (including extraction, enrichment, normalization, and CV support)
- video interview invitation, recording, upload, and playback workflows
- billing and subscription features
- the Job Extraction browser extension and issue-reporting flow
3. Data We Collect
- Account data: name, email, role, authentication/account identifiers, and profile preferences.
- Recruiter/company data: company names/domains, careers URLs, contact fields, notes, tags, monitoring preferences, and alert preferences.
- Candidate/job data: profile fields, CV files/content, skills/history, job applications, and related status activity.
- Video interview data: interview templates, invite metadata, recording upload metadata, and response playback references.
- Extraction configuration data: CSS selectors and related settings for job card, title, location, job type, salary, link, location blocks, and exclusion patterns.
- Issue reports: recruiter note text, target page URL, company context, and optional screenshot attachment when users report extraction issues.
- Billing data: subscription and customer references from Stripe (not full payment card details).
- Technical/usage data: logs, timestamps, error/debug events, and security-related request metadata.
4. How We Use Data
- operate user accounts, authentication, and access control
- discover/extract/normalize jobs and maintain careers monitoring
- save and apply recruiter-configured extraction patterns
- deliver emails (onboarding, interviews, alerts, digests, and operations messages)
- process subscriptions and billing events
- support AI-powered assistance and extraction quality improvements
- investigate issues, including user-submitted reports and screenshots
- protect platform integrity, prevent abuse, and comply with legal obligations
5. Legal Bases (UK/EU)
Where UK GDPR/EU GDPR applies, we process data under one or more legal bases: contractual necessity, legitimate interests, legal obligations, and consent (where consent is required).
6. AI Processing
We use AI services to support extraction, job-title normalization, metadata splitting (for combined fields), enrichment, scoring assistance, and CV-related features. AI output can be inaccurate and should be reviewed before use in decisions.
7. Job Extraction Extension
Our Chrome extension supports selector setup in a popup workflow. It uses extension permissions for `activeTab`, `tabs`, `scripting`, `storage`, and host access on <all_urls> so recruiters can configure extraction against varied careers sites.
The extension session data is used to coordinate selector setup between the app tab and popup tab. If a user submits an issue report, the payload can include message text and an optional screenshot. Users should avoid including sensitive data in screenshots unless necessary for support.
8. Data Sharing and Processors
We share data with service providers only as needed to operate the platform:
- Supabase: authentication, database, and storage infrastructure.
- Vercel: web application hosting/runtime.
- Stripe: subscription and payment processing.
- Resend: transactional and operational email delivery.
- OpenAI: AI-assisted processing for supported features.
- Apify: careers discovery/extraction actor execution and callbacks.
- Mux: video interview upload and media workflows.
- ScrapingBee: optional web-fetch support in extraction workflows.
- OS Names API: optional UK geodata normalization support.
We do not sell personal data to third parties.
9. International Transfers
Some providers process data outside your country. Where applicable, we rely on appropriate safeguards (for example contractual safeguards) for international transfers.
10. Data Retention
We retain personal data only as long as needed for service delivery, support, security, legal, and compliance purposes. Retention may vary by dataset (for example account, job extraction, billing, and interview records).
11. Security
We use technical and organizational controls intended to reduce unauthorized access, disclosure, or loss, including access controls and authenticated database policies. No internet service can be fully guaranteed secure.
12. Cookies and Local Storage
We use essential cookies/session mechanisms for authentication and security. We also use local storage for product settings (for example UI preferences and extension panel positioning). We do not use this page to run third-party advertising trackers.
13. Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to, or export your data, and to withdraw consent where processing is consent-based. You may also have the right to lodge a complaint with your local data protection authority (for example the ICO in the UK).
14. Children
The service is not directed to children. If you believe a child has provided personal data, contact us and we will review and take appropriate action.
15. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated revision date.
